Reference Sessions, Tasks and Automations

Use the # key to pull another part of your workspace into the chat: a running session, a task, or an automation. Where @ reaches into your files, # reaches into Vicoa itself.

Available in the web app and the desktop app.

How to Use

Type # in the message box and start typing a name. The panel lists your running sessions, open tasks, and enabled automations, e.g.

Press # on its own to see the most recent of each without typing. Pick a row with Enter or a click. You can also open the picker from the "+" button next to the message box, under Reference a session or task.

What the Agent Receives

The token stays in your message, and Vicoa appends a short block underneath with the details the agent needs:

A session reference carries the facts that identify the run, its agent, folder and worktree, plus the command to read the transcript. An automation carries its schedule and its prompt. Every block ends with the vicoa command for the full record, so the agent can dig further on its own instead of asking you to paste more.

Referencing a Task Files the Session Under It

Reference a task and the session joins that task's Sessions list, and the task moves to In Progress. The message box says so before you send:

A session belongs to one task at a time. If it already belongs to one, referencing another task still hands the agent that task's details, but leaves the filing alone, so nothing moves on your board by surprise.

Removing a Reference

Delete the #token from your message. The details attached to it go too.

Session Filters

Share a session's transcript, or a whole project (its tasks, its sessions, or both) with anyone. No Vicoa account needed to read it.

Where to find it:

  • The Share button in a session's header, next to the files panel toggle
  • A session's ⋯ menu (session header, sidebar or Kanban card) → Share
  • A project's ⋯ menu in the sidebar → Share project…
  • The Tasks page, with a project selected → Share

A project is one link with a content selection: What this link shares has a switch for Tasks and one for Sessions, and where you opened the dialog only decides which one starts on. The dialog opens on the link itself: the first time, pick what it carries, who can open it and when it expires, then press Create link; it is copied for you. Every time after that the existing link is right there with a Copy link button; use New link for one with different settings. Links look like vicoa.ai/share/….

What a link can do:

  • Follow along live. Viewers see the transcript as it grows, or the board as tasks move. They watch; they don't prompt the session or edit tasks. The one opt-in is Allow comments on a link that carries tasks, which lets signed-in Vicoa users comment on tasks under their own name, whoever the link is for; a visitor who is not signed in is asked to sign in first.
  • Audience: Anyone with the link (no account) or Vicoa users only. Someone who opens a Vicoa users only link while signed out sees "This link isn't available" with a sign-in button; the link works once they sign in.
  • Expiry: never, or 1 / 7 / 30 / 90 days. Revoke a link at any time from the same dialog; it stops working immediately, for everyone.
  • Filters: each half narrows on its own: Filter tasks by status or label, Filter sessions by date range. Filters apply live, so new matches appear too.

What the page says about you. By default a shared page shows the work and nothing about who shared it: no name, no avatar, no branch names. Two switches under Viewers can see turn those on per link: My name and avatar puts them on the page, Branch names shows each session's worktree branch. With the first one off, the page calls you "Owner" wherever you appear (as a task's assignee, in its activity, on your comments), with a plain placeholder for the avatar.

What viewers see. The page looks like Vicoa: a project link's tasks are the sidebar's Tasks row, its sessions are the list underneath, and picking either opens it on the right. A session shows a Live dot while its agent is working, and every viewer sees new messages within seconds. Viewers who are signed in to Vicoa get an Open in Vicoa button; everyone else gets Log in and Sign up for free.

It is a live view. A link shared during a session keeps showing whatever happens next until you revoke it.

Anyone with this link can read the full transcript, including any file contents or credentials the agent printed. Vicoa does not redact transcripts, so check what the agent saw before sharing.

Share with People and Teams

A link is for anyone. To give specific people access, open the same share dialog and switch to its People tab.

Share a project. Enter an email address (or pick one of your teams), pick a role, choose whether they see the Tasks, the Sessions or both, then press Invite. The project appears in their sidebar under Shared with me. If they don't have a Vicoa account yet, the access waits for them and attaches when they sign up with that address.

Change someone's role, narrow what they see, or remove them from the ⋯ menu on their row. Changes apply immediately. Only admins and the owner see the People tab, and only they see people's email addresses. With a project selected, the Tasks page shows who it is shared with next to Share.

Share one session. A session's People tab shares just that session, as a viewer (reads it) or an editor. It also shows how many people already see the session through its project.

What they see. Shared sessions open read-only, without the terminal, files or git panels, and without anything that reaches your machine. They refresh on their own every few seconds. A board shared below editor shows its tasks but not the controls that change them. Someone who no longer wants a project in their sidebar can choose Leave project… from its ⋯ menu.

Teams

A team is a group of people you can share with in one step. Create one in Settings → Teams, then invite people by email or with an invite link (choose the role, when it expires and how many times it can be used). An invitation shows up in the invitee's account menu and in Settings → Teams, with Join and Decline. On a server that can't send email, the dialog says so and gives you a link to pass on instead.

Share a project or a session with a team from the People tab, and everyone on the team gets access. People who leave the team lose it. The team's viewers read and comment, whatever role the share gives the team.

Give a project to a team. Instead of sharing it, a project can belong to the team: open its settings (⋯ → Project settings, General) and choose Move under Owner, or use Move a project here on the team's page. Everyone on the team then works in it as their own: it sits in their project list (not under Shared with me), everyone but viewers can edit its tasks and prompt its sessions, past ones included, and the team's owner and admins manage it. Its tasks, sessions and share links stay attached. Only the project's owner can move it, and only the team's owner can move it out again.

Task keys are unique within an owner, so if the team already has a project with the same key (say VIC), the move asks you for a new one and suggests a free one (VIC2). The project's labels move into the team's set, matched by name.

Team agents and labels. A team has its own agents (the saved setups on the Agents page) and its own label set. Everyone on the team but viewers can start sessions with the team's agents and assign them to the team's tasks; only the owner and admins create or change them, since their instructions run on every member's machine that picks one. Labels on the team's projects come from the team's set, which everyone but viewers can edit under Settings → Tasks or on the team's page.

The team's page (Settings → Teams, then the team) shows its picture (owners and admins can change it), members, projects, agents and labels, its invite links, and, for the owner, the seats it takes up. The owner can hand the team to another member with Make owner… on their row and stays on as an admin. Deleting a team gives its projects, agents and labels back to whoever created them.

Seats. On vicoa.ai, everyone who edits needs a seat: the owner, admins and members of a team you own, plus anyone outside it you gave edit access to your projects or sessions. A seat is either their own Pro or one you buy for them on Vicoa Team. Viewers and commenters are free and unlimited, and someone with their own Pro takes no seat. Creating or owning a team takes Pro or Team. Invite an editor past the seats you have and Vicoa offers to add a seat right there, or to invite them as a viewer instead. If you end up using more seats than you have, nobody loses access, but you can't add editors until you add seats or remove some. Self-hosted servers have no seat limit.

Vicoa Team. Team is $12 per seat per month, or $9 per seat per month billed yearly, with a minimum of 2 seats. The team's owner buys them on the Seats page (Settings → Billing → Seats, or from the team's page) and pays for everyone from one subscription. Each seat counts as Pro everywhere (desktop, web and mobile), and the holder's Billing page says which team their seat comes from. If you already pay for Pro on the web, upgrading to Team changes that subscription in place, prorated, after you confirm.

When Team ends. A cancelled Team subscription runs to the end of its billing period. After that, editors without their own Pro become viewers. Nothing is deleted, and editing comes back when you buy seats again.

The vicoa CLI lists tasks from your personal projects only; work on a team's board from the app.
